Student Services Set Up a Credential File

CREDENTIAL/REFERENCE SERVICES

Why do students and alumni need credential or reference files? You often need letters of recommendation when you apply for employment, graduate/professional schools, internships, or fellowships. At Adelphi, you may establish a credentials file which will be stored at the Center for Career Development. Your file can be copied and sent to prospective employers or schools and you will generally not have to ask the same person to write more than one letter of recommendation.

What constitutes a credentials file? In addition to your letters of recommendation, you may include a résumé, but you must periodically keep it up to date. An unofficial transcript (available from the Registrar) and copies of certifications may also be included.

Who should write your letters of recommendation? The best letters of recommendation will come from those who are well acquainted with your work and accomplishments, such as employers, professors, advisers, internship sponsors, and supervisors. Students should open a file early so that they can begin collecting letters from appropriate individuals. By the time you graduate, you may have lost contact with a professor or supervisor who admired your work.

What is the difference between confidential and non-confidential letters of recommendation? Some employers may prefer confidential letters of recommendation; others may not care. Each letter you request can be designated in advance on the recommendation form as either confidential or non-confidential. Once a confidential letter is received by the Center for Career Development, it will not be shown or given to the subject of the letter. Non-confidential letters may be seen by the person for whom the recommendation is written.

How long does it take for the letters to be filed? Letters of recommendation are placed into your file immediately as received. We have no control, however, on how long it takes the author to send the letter to us. We suggest that you give the authors sufficient lead time. Note that when letters or waiver forms are received without the author's original signature, they must be returned to the author, delaying their inclusion in your file.

How long are the credentials/references held? Credentials files remain active for five years and may be reactivated. Candidates should keep the file up-to-date by requesting new letters, retiring old letters, and updating the résumé if it is part of the file.

How do you request that the file be mailed? The request that a file be sent to a prospective employer may be made in person or by phone, fax, email, or mail. You may request that all or part of the file be sent. Files may also be faxed when time is a factor. When requesting that more than one employer be sent your credentials and recommendation letters, we ask that you mail, fax, or email the request to us.

How does the Center for Career Development handle "official" envelopes and forms? If the graduate or professional school to which you are applying furnishes printed recommendation forms and return envelopes, fill out the appropriate sections and bring or mail them to the Center for Career Development. We will attach the letters from your file to their form and send them in their envelopes with an official seal. We will mail them or arrange for you to pick them up to send with your application.

Are there service charges for credentials files and mailing? There is a nominal charge for opening or reactivating a credentials/references file. This charge includes the first three mailings, after which each additional mailing will be charged.
