Student Organizations Program Planning

The following are the minimum procedures that should be adhered to by student organizations planning a program.
  1. Forty-five days prior to requested date, an organization must contact their Faculty Advisor and the Center for Student Involvement to inform them about their plans to organize an event. At this time they should contact potential vendors and follow-up with their room confirmation.

  2. Upon approval of the Room Reservation Form or 30 days prior to the event (whichever one comes first) the Student Organization's event planning committee must have their initial Program Planning Meeting with the Center for Student Involvement. This meeting will cover all the logistics and procedures of planning the event. Including:
    1. Tickets/cash collection
    2. Publicity
    3. Guest Policy
    4. Room(s) set-up
    5. Catering Request
    6. Equipment Request
    7. Vendors/Contracts

  3. A completed Program Planning Meeting Form must be returned to the Center for Student Involvement within five (5) days of the initial planning meeting. When you are collecting signatures make sure that the room set-up is covered with Operations, Public Safety is aware of the expected number of attendees, SGA Bookkeeper has a correct event budget, and if applicable Lackmann is aware that you will need your event catered.

  4. Ten (10) to seven (7) days prior to the event you must submit your requested Lackmann catering menu to the Center for Student Involvement for budget approval. At this time we also ask that you hand in any additional paperwork including publicity requests and if applicable a tentative guest list (final guest list must be sent to the Center for Student Involvement and Public Safety no less that 24 hours prior to the event.)

  5. Within one (1) business day after the event you must submit your completed event evaluation form to the Center for Student Involvement. If your event occurred during a weekend/holiday, please return it on the next business day.

**All meetings must be scheduled in advanced; this can be done by contacting the Center for Student Involvement. Walk-in appointments cannot be guaranteed**
