The following procedures should be adhered to by student organizations planning a program.
  1. Forty-five days prior to requested date, an organization must submit a completed Program Request Form to the Center for Student Involvement (CSI). All other student organizations should consult with their Faculty Advisers before submitting a request form to CSI.
  2. At least 30 days prior to the event and upon approval of the event and requested date, the Event Coordinator must schedule a meeting with the Activities, University Center, and Security staff to review all policies and procedures pertaining to the event. At the review meeting, members of the organization must be prepared to discuss:
    1. tickets
    2. ticket prices
    3. cash collection
    4. publicity
    5. guest list policy
    6. room(s) set
    7. catering request
    8. equipment request
  3. Twenty-five days prior to the event, the organization must meet with Food Service, if food is being served, to place their order.
  4. On the day of the event, at the agreed box office opening time, one designated organization representative must sit with the cash collector at all times. It is the responsibility of the student organization to work with the professional staff in carrying out all policies.
  5. Student organizations must designate a clean-up committee to clean up the party area. All decorations must be removed and disposed of properly. The area used by the student organization for the party must be cleaned prior to individuals from the sponsoring organization leaving the area.

Policy Information for Programs
  1. Tickets: Pre-numbered printed tickets must be used for each event that has an admission charge.
  2. Ticket Prices: The maximum admission charge for an income-producing event sponsored by student organizations is $8.00 per person. There must be at least a $1.00 differential in the admission charge for Adelphi University students.
  3. Cash Collector: A CSI employee will have sole responsibility for selling tickets and collecting cash at the door.
  4. Publicity: Publicity must include event title, date, time, location, prices, and guest list policy and be approved by the Center for Student Involvement. No off-campus advertisements are permitted for any event.
  5. Admission Policy:
    1. Adelphi Students: All Adelphi students must have valid Adelphi University identification.
    2. Chaperoned Guest List: Each Adelphi student is permitted to "chaperone" up to three (3) guests to all on-campus student activities as follows:
      1. the Adelphi student must "chaperone" his/her guests to an event, otherwise guests will not be admitted (the same policy applies to re-entering the building);
      2. all guests must present at the door a valid photo ID (driver's license or passport) and a valid document which has the signature of the individual. Identifying documents will be photocopied and retained by Student Security;
      3. the Adelphi student must sign in his/her guests to ensure that the Adelphi student takes full responsibility for the guests.
  6. Room(s) set: The organization will be required to discuss specifications for any and all rooms approved for the event.
  7. Catering Request: All catering requests (including Lackmann Food Service catering, non-alcoholic beverages, and alcoholic beverages, if applicable) must be pre-approved by the Center for Student Involvement.
  8. Equipment Request: The organization must request all equipment needed at the time of the event at the meeting scheduled 30 days prior to the event.
